The Compliance and Safety Reports section enables users to monitor, review, and manage all activities relating to safety practices and compliance standards within their organization. This section serves as the central hub for tracking job statuses, work crew assignments, and compliance rates, helping ensure regulatory requirements and internal standards are consistently met.
2.1 Compliance and Safety Reports Dashboard
This dashboard presents an organized table of jobs alongside key details for each:
Job Name: Identifies the specific service or task (e.g., Extreme Clean Service, Window Cleaning).
Client: Specifies the client or requestor for each job.
Status: Shows the current progress of each job, categorized as “Completed,” “Draft,” or “Started”.
Crew: Lists the team responsible for the job.
Scheduled Start: Indicates the planned start date for each job.
Estimated Hours: Displays projected hours required (useful for planning and forecasting, even when set at zero).
Property: Notes the property or location where the job is to be carried out.
This structured presentation allows managers to review all job statuses at a glance, identify which jobs are completed, which are in progress, and which are still in draft form. The inclusion of search and filter tools enables users to quickly locate specific reports or focus on jobs by status, date range, or other parameters.
Data View and Visualization
Users can toggle between “Data View” for detailed tables and “Visualization” for graphical summaries of safety and compliance tasks.
2.2 Searching and Filtering in Compliance and Safety Reports
Search Bar: Instantly locate jobs by typing a job name, client, or property.
Date Range Filters: View all jobs or narrow the report by custom or preset time frames.
Status Filter: Focus on jobs with specific statuses (Completed, Started, Draft).
Export Functionality: Generate a PDF of filtered or full reports for easy sharing, record-keeping, or compliance audits.
Visualizations and KPIs
The Visualizations section transforms key compliance and operations metrics into actionable insights using clear graphical displays and high-level KPIs.
3.1 Key Performance Indicators (KPIs)
Key Performance Indicators (KPIs) are concise, quantifiable measures used to evaluate the success and efficiency of specific activities or processes within your operations. In your dashboard, KPI boxes provide quick, at-a-glance insights that help users understand critical performance aspects without needing to analyze detailed data.
Total Jobs:This KPI represents the total number of service jobs, work orders, or tasks assigned or scheduled within the selected time period. It reflects the overall workload or volume of activities the team is handling and serves as a baseline for productivity measurement.
Completed Jobs: This measures how many of the total assigned jobs have been fully completed during the timeframe. It is an important indicator of productivity and throughput, showing the team's ability to finish scheduled work.
Compliance Rate: This percentage metric assesses how well the team or operations adhere to predefined standards, rules, or service level agreements (SLAs). For example, it might represent the proportion of jobs completed within the required timeframe or according to quality measures. A compliance rate of 30.0% suggests that only 30% of the jobs meet the expected compliance criteria, signaling room for improvement.
Active Crews: This counts how many crews or teams are currently active—engaged in working on jobs or scheduled for tasks. It provides insight into workforce deployment and capacity utilization.
3.2 Graphical Insights
The Visualizations area provides the following graphical summaries:
Job Status Distribution: Bar chart of jobs by status (Completed, Started, Draft), helping you identify backlogs or bottlenecks.
Crew Job Assignment: Visual chart showing how jobs are distributed among crews, supporting balanced workload management.
Compliance Rate Tracking: A Pie Chart that tracks compliance rates over time is typically used in dashboards to visually represent the proportion of compliance
Managers can filter visual reports by time period, crew, or status to focus on specific analytics.
Use compliance rates and job completion percentages to prepare for audits or management reviews.
Visualizing crew assignments helps optimize team productivity and ensure safety protocols are uniformly followed.
2.3 Exporting Compliance and Safety Reports as PDF
Exporting Compliance and Safety Reports as PDF
This feature enables users to export the current view of Compliance and Safety Reports into a PDF document, including all data and visualizations based on applied filters and search parameters.
Key Features:
Filtered Data Export: The exported PDF contains only the jobs and details that match your active filters, such as job status, scheduled dates, assigned crew, or specific job names. This produces a focused report tailored to your precise criteria.
Report Contents:
Summary Section: Displays key performance indicators (KPIs) related to the filtered jobs, including Total Jobs, Completed Jobs, Compliance Rate, Total Hours, and Average Hours per Job.
Detailed Jobs Table: Lists all filtered jobs with columns for Job Name, Client, Status, Crew, Scheduled Start, Estimated Hours, and Property, mirroring the filtered dataset displayed on the dashboard.
Graphical Summaries: Includes a Compliance Overview donut chart illustrating the ratio of Completed versus Non-Completed jobs, providing a clear visual status distribution.
The PDF is formatted for readability and professional presentation, making it suitable for printing, auditing, management review, record-keeping, and stakeholder distribution.
Apply desired filters and search terms in the Compliance and Safety Reports dashboard to narrow down the jobs displayed.
Click the “Export as PDF” button on the dashboard toolbar.
The system generates a PDF report that reflects your current filtered view, including all relevant tables and charts, and then prompts you to save or open the document.
This process ensures your exported reports are accurate, customizable, and presentation-ready, matching the filtered insights you rely on for effective compliance and safety monitoring.
Travel and Mileage Reports Dashboard
The dashboard is divided into core areas to give you quick and detailed insights into travel and job metrics.
1.1 Filter Bar
Use the Filter Bar to customize your data view with:
Search Bar: Enter keywords to quickly find specific jobs, clients, crews, or users.
Date Range: Select from presets such as All Time, Today, or Tomorrow to focus on relevant time periods.
Status Dropdown: Choose job statuses to display, including Completed, Scheduled, Draft, and Started.
A Deselect All checkbox allows you to clear all selections for a fresh filter.
These filters help you drill down into the data to analyze travel and job-related details that matter most.
1.2 Data View (Table)
The Data View shows the filtered results in a comprehensive table with these columns:
Job Name: The title of the job or service (e.g., Extreme Clean Service).
Client: Customer or company receiving the service (e.g., George Young).
Status: The current progress stage of the job (Completed, Draft, Scheduled, etc.).
Crew: The team assigned to the job (e.g., Ultimate Clean).
Scheduled Start: The planned date and time for job commencement.
Estimated Hours: Predicted time required to complete the task.
Property: Location or property where the work is performed.
This table provides a detailed view for auditing travel assignments, verifying schedule adherence, and reviewing workload distribution.
1.3 Visualizations
Below the data table, interactive visualizations give you quick insights through:
Total Jobs: Displays the total count of jobs matching your current filters.
Completed Jobs: Number of jobs finished successfully in the filtered period.
Total Hours: Sum of hours associated with the jobs viewed.
Average Hours Per Job: The average time spent per job, showing efficiency and workload balance.
Job Status Distribution: Bar chart showing proportions of jobs by their current status.
Crew Job Assignment: Visualization of job assignment volumes across crews, highlighting workload spread.
Job Completion Rate: Tracks the percentage of completed jobs relative to the total assigned, an indicator of operational effectiveness.
These graphical tools allow managers to detect trends, workforce imbalances, or bottlenecks quickly.
1.4 Export PDF
To generate a shareable or archival report based on your filtered data:
Use the filter bar to select the desired data set.
Click the Export PDF button located at the top of the dashboard.
The PDF report will include:
The detailed data table as currently filtered.
KPI summary boxes showing key metrics.
Visual charts reflecting the filtered results.
Save the PDF to your device for distribution, compliance, or review purposes.
