Scheduling & Dispatch Reports
Overview
The Scheduling & Dispatch Reports section provides an organized workspace for analyzing and optimizing the assignment, scheduling, and execution of jobs across teams and regions. Through powerful filters, KPI summaries, visual charts, and export capabilities, managers gain actionable insight into operational efficiency, resource allocation, and dispatch trends.
This module makes it easy to review which jobs are scheduled or completed, examine hours distribution, and compare performance by crew, user, or region.
1. Scheduling & Dispatch Reports Dashboard
The dashboard is designed with intuitive controls, giving you the ability to filter, review, and analyze job scheduling and dispatch status.
1.1 Filter Bar
At the top of the dashboard, the Filter Bar allows you to target your analysis with multiple controls:
Search Bar: Quickly locate specific jobs by typing relevant keywords.
Group By Switch: Toggle between grouping data by Crew, User, or Region to compare performance at different organizational levels.
Date Range: Select preset periods such as All Time, Today, Tomorrow, Last Week or use a custom date range to focus on the most relevant timeframe.
Using these filters, users can easily isolate data for specific teams, timeframes, or job types.
1.2 KPI Summary Boxes
To view the row of KPI boxes that provides an instant snapshot of your scheduling and dispatch status, you need to switch to the "Visualization" tab and you'll see the KPI boxes, which quickly display:
Total Jobs: The overall number of jobs in the filtered period.
Scheduled Jobs: Number of jobs that have been scheduled but not yet started or completed.
Completed Jobs: Total jobs marked as finished within the timeframe.
Total Hours: Aggregate scheduled or worked hours for all jobs in view.
These KPIs deliver key performance indicators at a glance, aiding rapid operational assessment and resource planning.
1.3 Visualizations
Interactive visual charts and graphs further enhance your analysis:
Job Status Distribution: Pie charts display the proportion of jobs in various statuses (Started, Draft, Completed, etc.), helping identify workflow bottlenecks and workload balance.
Scheduling Trends: Line graphs illustrate the volume of jobs scheduled over time, highlighting peaks, trends, or seasonality in demand and operations.
Crew Performance: Visual comparisons (line charts) show how different crews, users, or regions are performing regarding job completion rates or other chosen metrics.
Hours Distribution: Graphs reveal how total working or scheduled hours are distributed among teams, users, or regions, supporting efficient resource allocation.
Each visualization can be interacted with or filtered according to the dashboard settings, providing a flexible tool for operational review and reporting.
1.4 Exporting Reports
To save or share your analyzed data click on Export PDF:
Apply Filters and Groupings: Use the filter bar to select the period, crews, or other relevant filters and groupings to refine the data displayed on your dashboard.
Export as PDF: Click the Export PDF button located at the top right of the dashboard.
When you export, the system will generate a single PDF that compiles all the key information shown on your screen, including:
Filtered Data and Summaries: The PDF includes job lists, current filters, and any summary tables you see in the "Job Details" section.
KPI Boxes: The key performance indicators (such as Total Jobs, Scheduled Jobs, Completed Jobs, and Total Hours) are included for a quick operational overview, just like on your dashboard.
Visual Charts: All the visual charts visible on your dashboard, such as job status distributions, scheduling trends, crew performance, and hours distribution, are also part of the PDF
