Overview


 

The Work Order Reports section is designed to provide a detailed overview of all work orders created, scheduled, and completed within your organization. These reports empower managers and supervisors to analyze trends, monitor service delivery, and identify opportunities for operational improvement. The Work Order Reports module displays critical data related to job scheduling, service items, client information, and job status, supporting transparency and data-driven decision-making. Key functionalities include customizable data views, advanced search and filtering options, and the ability to export detailed reports for sharing and recordkeeping.


 

2.1 Work Order Report Dashboard


 

The Work Order Report Dashboard organizes all work order data in a centralized view, enabling users to examine ongoing and historical jobs. The dashboard offers two main view options:


 

Data View


 

Presents a list of work orders with the following information for each job:








 

  • Job Name

  • Service Items: Materials or services performed.

  • Status: Draft, Scheduled, Completed, etc.

  • Priority: Indicates the urgency or importance (e.g., Normal, High, Urgent).

  • Client: Name of the client or customer.

  • Location: Address or site of the work order.

  • Start Date and End Date: Scheduled start and end times.

  • Estimated Hours: If available, shows the expected duration for completion.

  • Switch Views: Users can toggle between the Data View and Visualization for flexible analysis.

Visualization

These visualizations help identify bottlenecks and monitor overall job flow. Offers charts and graphs summarizing key work order metrics, such as:

  • Work Orders by Status: Displays work orders grouped by status categories (e.g., Draft, Scheduled, Completed, Overdue) using bar or pie charts. This highlights workload distribution and identifies bottlenecks.

  • Work Orders by Priority: Illustrates the count or percentage of work orders by priority level, aiding in understanding the urgency distribution and resource allocation needs.

  • Work Order Completion Rate: A bar chart presenting the percentage of completed work orders out of total scheduled within a selected timeframe, helping measure operational efficiency.

  • Work Orders Timeline: A timeline visualization indicating the start and end dates of work orders, allowing users to see scheduling overlaps, capacity planning, and forecast busy periods.

  • Revenue by Status: Breakdown of revenue totals segmented by work order status, typically shown as bar or pie charts. This supports financial 

oversight by showing realized versus expected revenue and tracking sales pipeline health.



 

Users can interact with these charts to filter or drill down for more detail.

2.2 Exporting Reports

Users can export the current view of work order reports as a PDF document that includes:

  • The filtered and sorted work order table with all visible columns.

  • Applied search criteria and filters for record accuracy.

  • Visual summaries and charts (if applicable).

  • Formatting optimized for both print and digital formats for easy sharing, audit, or archival.


 

2.3 Searching and Filtering Work Orders

To manage and navigate work orders effectively, the dashboard offers sophisticated search and filter options:

  • Search Bar: Quickly find work orders by job name, client, or related keywords.

  • Time Filters: Select preset ranges like “All Time,” “Today,” “This Week,” or use custom date ranges.

  • Status Filter: Limit displayed work orders by their current status (Draft, Scheduled, In Progress, Completed, Overdue, Pause, Completed, Canceled).

  • Priority Filter: Filter work orders by priority level (Normal, High, Critical).

  • Client Filter: Select a specific client to view relevant jobs.

  • Location Filter: Filter by service address or site.

These tools enable users to drill down into specific datasets to assist in operational reviews, audits, or reporting.
